Still Billing by Hand — or Outgrowing Your Current System?
Every business eventually hits the same wall: paper receipts get lost, spreadsheets don't scale past a few products, and generic international software doesn't fit how business is actually done in Sri Lanka — LKR pricing, local support hours, and the reality of running two or three branches. Here's a practical checklist for choosing billing software, whether you're switching from paper or from a system that's stopped working for you.
1. Uptime Guarantee
Your billing software needs to work every single time a customer is standing at the counter. Ask any vendor directly: what uptime guarantee do you offer, and what happens if it's not met? Anything under 99% for a paid plan should be a red flag.
2. Local Support, in Your Time Zone
When something breaks mid-sale, you need help in minutes — not a support ticket answered the next business day from a different time zone. Look for vendors offering WhatsApp, phone, or Google Meet support during Sri Lankan business hours.
3. Transparent Pricing in LKR
Some billing software prices in USD and leaves you guessing what a plan will actually cost after currency conversion and card fees. Look for straightforward LKR pricing with no hidden charges for basic features like reports or customer management.
4. Room to Grow
Your first year might be one location and one user. Two years from now it might be three branches and five staff accounts. Choose software with add-ons for extra users and locations, rather than one that forces a full re-migration when you outgrow the starting plan.
5. Industry Fit
A supermarket, a pharmacy, and a restaurant all bill differently — batch tracking, kitchen orders, and service staff PINs aren't interchangeable needs. Make sure the software actually supports your specific type of business, not just generic point-of-sale basics. We've written specific guides for pharmacies and restaurants if either applies to you.
6. Real Reporting, Not Just a Sales Total
A daily sales number alone doesn't tell you much. Look for at least 15+ report types — profit and loss, stock value, trending products, and sales rep performance — so you can actually make decisions from the data.
7. Data Security and Backups
Your sales history, customer records, and stock data are core business assets. Confirm the vendor backs up your data automatically, and that it isn't stored only on a single in-store computer.
