BillBook allows you to seamlessly manage multiple business locations, including warehouses and storefronts, all within a single system.
By default, a primary business location is created when you register your business. However, you can add more locations to efficiently track inventory, sales, and transactions separately for each branch.
🚀 Setting Up a New Business Location #
To create a Business Location, Storefront, or Warehouse, follow these simple steps:
✅ Go to → Settings → Business Locations
✅ Click on “Add Location”
✅ Enter the location details (📍 Name, 🏠 Address, 📞 Contact, etc.)
✅ Choose an Invoice Scheme & Invoice Layout 🧾
✅ Select the Default Selling Price Group 💰
✅ Enable or disable payment methods for this location 💳
✅ Click “Save” 💾
💡 Tip: If you have multiple locations, you will need to select the correct location when adding purchases or processing sales in the POS system.
📌 Understanding Key Settings for Business Locations #
1️⃣ Invoice Scheme (Invoice Number Format) 🧾 #
Before adding a new location, you can define a unique invoice scheme or use an existing one.
🔹 Helps distinguish invoices for different locations.
🔹 Example:
- Location A: INV-A001, INV-A002
- Location B: INV-B001, INV-B002
2️⃣ Invoice Layout (Design of the Invoice) 🎨 #
If you want custom invoice designs for each location, set up different invoice layouts before creating the location.
🔹 Example:
- 🏬 A retail store might need a detailed invoice.
- 🏢 A warehouse might only need a basic receipt.
3️⃣ Default Selling Price Group 💰 #
Each location can have its own pricing group for better price management.
🔹 Example:
- 🛒 Location A (Retail Store) → Standard Pricing
- 📦 Location B (Wholesale Warehouse) → Discounted Pricing
4️⃣ Payment Options 💳 #
🔹 Enable or disable payment methods based on location needs.
🔹 Set a default payment method for each location to ensure smooth transactions.
💡 Good to Know:
You can update the Invoice Scheme, Invoice Layout, and Payment Options anytime from Business Settings.
📊 Managing Inventory and Transactions Across Locations #
Each location operates independently in terms of inventory and transactions, making it easier to track and analyze business performance.
Example:
📍 If you have 3 stores, you can track sales, stock levels, and expenses separately for each one.
📦 You can also transfer stock between locations when needed.
🚫 Disabling a Business Location #
If you no longer need a location, you can disable it in just a few clicks:
1️⃣ Go to → Settings → Business Locations
2️⃣ Find the location you want to disable
3️⃣ Click the “Disable” button” ❌
⚠️ Important Notes:
❌ After disabling a location, any users assigned to it must be reassigned to another active location.
❌ At least one business location must remain active—disabling all locations will cause system errors.
