🔢 Managing Lot Numbers in BillBook

Lot numbers help track product batches, ensuring better inventory control, traceability, and stock management. With BillBook’s Lot Number feature, you can easily add, track, and display lot numbers in invoices. 🚀📦


📌 What is a Lot Number? #

A Lot Number is a unique identifier assigned to a specific batch of a product. It helps:

✅ Track manufacturing batches 🏭
✅ Identify product defects or recalls ⚠️
✅ Manage stock efficiently 📊


🔹 Enabling Lot Number #

Go toSettings → Business Settings → Purchases
✅ Check “Enable Lot Number”
✅ Click “Save” 💾

Once enabled, Lot Number fields will appear in:
📌 Purchases
📌 Opening Stock
📌 Sales Transactions


📥 Adding Lot Number from Purchases #

✅ When adding a purchase, you will see a “Lot Number” field.
✅ Enter the lot number assigned to that batch.
✅ This lot number is now linked to the purchase stock entry.

📌 Benefit: Helps track which batch was purchased when & from which supplier.


📦 Adding Lot Number from Opening Stock #

✅ If Lot Number is enabled, the system will display a Lot Number input field when adding Opening Stock.
✅ Enter the lot number manually to track existing inventory from past purchases.

📌 Benefit: Helps maintain batch history, even for old stock!


🛒 Selling Products from a Specific Lot #

✅ When selling from POS or Sales Screen, you can select the Lot Number from a drop-down menu.
✅ This ensures products are sold from the correct batch, helping with quality control.

📌 Benefit: Avoids issues with expired or recalled stock while maintaining inventory accuracy.


🧾 Displaying Lot Number on Invoices #

Make sure Lot Number is enabled (as described above).
Go toInvoice Layout Settings
✅ Enable “Show Lot Number”
✅ If a lot number was added during Purchases or Opening Stock, it will appear in the Sales Screen.
✅ Select the correct Lot Number during the sale.
✅ The Lot Number will be printed on the invoice.
