📝 Sales Order in BillBook

A Sales Order (SO) is a document issued by a supplier (your business) to a buyer in response to a Purchase Order. It confirms the details of a sale before shipping goods to the customer. 🚀📦


📌 What is a Sales Order? #

✅ A Sales Order includes:

  • Buyer’s invoicing & delivery details 📑
  • Product details (quantity, price, tax, discounts) 🏷️
  • Payment terms & shipping charges 💰🚛
  • Additional notes & special instructions

Sales Order Statuses:

  • Ordered – The SO has been created but not processed.
  • Partial – Some items in the SO have been delivered.
  • Completed – The SO is fully fulfilled.

📌 Once the buyer approves the Sales Order, the supplier ships the goods.


🔹 Enabling Sales Orders in BillBook #

Go toSettings → Business Settings → Sales Tab
✅ Enable “Sales Order”
✅ Click “Save” 💾

✅ The Sales Order menu will now appear under the Sales module.


📥 Creating a Sales Order in BillBook #

Go toSales → Sales Order → Add Sales Order
✅ Fill in all required details:

  • Customer Name & Business Location 🏢
  • Product Details (Name, Quantity, Price, Tax, Discounts) 📊
  • Shipping & Payment Terms 🚛💳
    ✅ Click “Save” 💾

📌 Important Notes:

  • Stock is NOT deducted when a Sales Order is created – stock is deducted only when it is converted into a Sale.
  • Once created, you can print the Sales Order and send it to the buyer for approval. 🖨️

🔄 Converting a Sales Order to a Sale #

Step 1: Go toSales → Add Sales
Step 2: Select the Business Location & Customer
Step 3: The Sales Order drop-down will display all pending Sales Orders for that customer.
Step 4: Select the relevant Sales Order – product details (price, tax, discounts) will auto-load.
Step 5: Adjust quantities if needed (for partial sales).
Step 6: Click “Save” 💾 – the Sales Order status updates automatically based on fulfillment.

📌 Stock is deducted only when the Sales Order is converted to a Sale!
