💰 Selling Price Groups in BillBook

2 min read

Selling Price Groups allow businesses to sell products at different prices based on wholesale, retail, bulk purchases, or different business locations. With BillBook, you can set up fixed or percentage-based price groups, assign them to users, customers, or locations, and even import/export price lists easily! 🚀

➕ Adding Selling Price Groups #

Go toProducts → Selling Price Group
✅ Click on “Add” to create a new price group (e.g., Retail Price, Wholesale Price, Bulk Purchase Price, Location 1 Price).
✅ Click “Save” 💾
✅ You can view and manage all selling price groups from the Selling Price Group screen.

📌 Use Cases:

  • Sell the same product at different prices (e.g., Retail ₹500, Wholesale ₹450).
  • Set different prices for different store locations.

📌 Adding Selling Price as Fixed or Percentage #

BillBook allows you to set selling prices in two ways:

1️⃣ Fixed Price – Enter the exact selling price for that price group.
2️⃣ Percentage (%) – Set a percentage increase or decrease from the default selling price.

📌 Example:

  • Default price = $100
  • Price group “Wholesale” = -10% ($90)
  • Price group “Premium Customers” = +15% ($115)

🔄 Adding Price for Different Price Groups #

Go to Add/Edit Product screen
✅ At the bottom, click “Save & Add Selling Price Group Price” (this appears only if price groups exist).
✅ A screen will show:

  • Product name (or variations for variable products)
  • Default price
  • Fields to enter price for each price group
✅ Enter the selling price for each group.
    ✅ Click “Save” 💾

📤 Exporting & 📥 Importing Selling Price Groups #

Go toProducts → Update Price
✅ Click “Export Product Prices” to download an Excel file 📥
✅ Edit the selling price group prices in the Excel file (do not change SKU or product names).
✅ Leave blank fields if you do not want to update a price.
✅ Import the updated file back into BillBook.

📌 Only the selling price group prices will be updated—SKU and product names remain unchanged.

🛒 Selling at a Specific Price Group (POS Sales) #

Go to POS Screen
✅ At the top, you’ll see selling price groups (if available).
✅ Select the price group you want to use.
✅ Products will now be sold at the selected price group rates.

📌 Note: If a user is assigned to only one price group, the selection won’t be visible.

👤 Assigning a User to a Particular Price Group #

You can restrict users (such as salespersons) to specific price groups.

Go to User Management → Roles
✅ Create/Edit a role and assign the desired selling price group permissions.
✅ If a user has permission to sell, they must be assigned at least one price group.

📌 Example:

  • A cashier may only see Retail Prices, while a wholesale manager sees Wholesale Prices.

👥 Assigning a Customer to a Price Group #

Customers cannot be directly assigned to a price group. Instead, you must:

Assign a Price Group to a Customer Group
✅ When a customer belongs to a Customer Group, they automatically receive that price group’s rate.

📌 Example:

  • Wholesale customers belong to the Wholesale Customer Group, which is assigned to the Wholesale Price Group.

📍 Assigning a Price Group to a Business Location #

This feature helps in selling the same product at different prices in different locations.

Go to Add/Edit Business Location
✅ Select the Default Selling Price Group for that location.
✅ If no price group is selected, the default price will be used.

📌 Example:

  • Store A sells Product X at $500, while Store B sells it at $550.

❓ FAQ: Hiding Selling Price Groups in POS for Cashiers #

If you want to hide price groups from cashiers in the POS window:

Go to User Management → Roles
Edit the Cashier Role
Remove permission for all price groups except the one you want them to use.

📌 This ensures that cashiers only use pre-set prices and cannot change price groups.
